Planning Your Event

Our dedicated event coordinator helps plan and manage your event from the booking to the day of. To ensure your event runs smoothly, we schedule three meetings to support you in the planning process and check in with you periodically to help as needed before your event.

Eau Claire Event Planning Process:

Booking Meeting

Call 715.456.2466 or email to schedule a booking meeting with us to sign the contract and make your initial deposit.


At the booking meeting, we will reserve the date of your event and schedule our future meetings. Your first deposit is due to book your event, it is the total room rental rate plus state sales tax. This deposit is nonrefundable.

After the booking meeting we will pass on our caterer’s contact information for you to schedule your complimentary tastings. Our caterers are well experienced in the wedding and event industry and are an excellent source of knowledge when it comes to menus, timelines, and even decorations. We recommend that you decide on a caterer within three months of booking.

60-Day Meeting

Start planning.

Your second deposit of $1,500 is due at this meeting.

You will meet with the event coordinator and your chosen caterer to discuss the details. This meeting tends to last about two hours. It is a great help if you have an estimated guest count, event timeline, menu and beverage selections, and ideas on how to use the spaces you are renting. The details we discuss will be typed up with an estimated total cost for you to review and confirm. We will tour the venue again to help you visualize your decoration plans.

15-Day Meeting

Finalize your event details.

Your final deposit and $500 security deposit will be due at this time. Your security deposit is reserved for excessive cleaning, damages, and any other day of charges that may occur.

Our event coordinator and your chosen caterer will meet with you to finalize your event. This meeting usually takes an hour. We will go over your final numbers, make any changes to food or beverages, finalize your timeline and ballroom layout, and answer any other questions that have come up.

Final Statement

Your final statement will be prepared and mailed the week after your event. It will reflect any day of event charges that may have been added. The balance on your security deposit will be returned with detailed written explanations if any funds were subtracted.
